PUDA International Packaging Machinery Inc., located in Vernon, BC, is a leading manufacturer and distributor of custom packing and filling systems. We are a full-service provider, helping clients structure complete turnkey solutions or specialized components tailored to their unique needs.

We are actively looking for a detail-oriented and dedicated Administrative Assistant to become a vital part of our dynamic team. The ideal candidate will play a crucial role in supporting the seamless operation of our administrative functions. The working hours for this position are 40 hours per week, with an hourly pay of $29 CAD and an annual salary of $60,320 CAD. A $500 monthly housing allowance will be provided for suitable candidates.

 

Job Duties:

●        Greet clients and visitors upon arrival, maintain an accurate visitor log, and direct them to the appropriate personnel in engineering, sales, or management.

●        Organize, schedule, and confirm appointments and meetings for management and across departments. Record and prepare minutes of meetings, capturing key technical discussions and action items.

●        Manage the flow of information by opening and distributing incoming mail and coordinating communication internally between engineering, production, and sales departments, as well as with external global partners.

●        Respond to telephone and electronic inquiries, relaying technical messages and providing product information to enhance interactions with industrial customers and partners.

●        Prepare, edit, and proofread a variety of documents, including technical correspondence, invoices, project presentations, and equipment brochures, ensuring they align with the professional brand of PUDA International.

●        Manage complex travel schedules and make reservations for management and technical staff traveling to client sites.Order and maintain an inventory of office supplies and necessary project-related documentation materials, ensuring administrative and overall operations run efficiently.

●        Gather and compile data from various operational departments, assisting in the preparation of reports that contribute to strategic planning and operational improvements.

●        Assist in maintaining communication with industry partners and vendors, coordinating meetings to explore potential collaboration opportunities.

●        Aid in the procurement process by preparing documentation, coordinating with suppliers, and assisting in the negotiation and signing of contracts to ensure favorable terms.

 

Requirements:

●        Completion of secondary school is required. Higher education, especially studies in the fields of administration, economics, and social science is preferred. 

●        Clerical or administrative experience is required.
