Job Description:

o Greet clients and visitors; Receive and deliver phone and in-person messages; Receive and send emails; Distribute and post company memos
o Give company visitor tours as needed; Respond to inquiries and direct them to appropriate staff
o Organize and coordinate office operations and procedures; Establish work priorities, follow office workflow procedures to ensure maximum efficiency; Maintain files and records with effective filing systems
o Monitor office supplies inventory and place orders; Maintain office equipment; Help to maintain a professional and tidy office space; Coordinate office services
o Monitor office budget and expenditures; handle all office contracts (rent, vendor etc.)
o Prepare periodic company report
o Assist with the hosting of special company projects; Support meeting and conferencing needs

Qualifications:

o A university degree or college diploma in business or public administration is required
o Experience in a senior clerical or executive secretarial position related to office administration is required.
o Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
o Excellent time management skills and ability to multi-task and prioritize work
o Attention to detail and problem solving skills
o Strong organizational and planning skills in a fast-paced environment
o A creative mind with an ability to suggest improvements
