Specific Skills:
• Prepare, key in, edit and proofread correspondence, invoices, bid documents, change orders, safety reports, project presentations, proposals and related materials from handwritten notes, site reports and electronic drafts.
• Open, review and distribute incoming regular and electronic mail, courier packages, tender notices and other materials; coordinate the flow of information between project managers, site supervisors, subcontractors, suppliers and clients.
• Schedule and confirm appointments, project meetings, site inspections, safety briefings and subcontractor meetings for management and project teams.
• Order office and site supplies (PPE, forms, stationery) and maintain inventory records; coordinate with suppliers to ensure timely delivery to office or job sites.
• Answer telephone and electronic inquiries from clients, subcontractors, inspectors and vendors; relay messages to appropriate personnel.
• Set up and maintain manual and computerized filing systems for project documentation, contracts, permits, drawings, inspection reports, safety records and invoices.
• Determine and establish office procedures to support project administration, document control and communication between office and construction sites.
• Greet visitors, clients, inspectors and contractors; ascertain nature of business and direct them to the appropriate manager or department.
• Record and prepare minutes of project meetings, safety meetings and coordination meetings.
• Arrange travel schedules and accommodations for management or project staff attending outof-town job sites or industry events.
• Compile data, statistics and other information to support project reporting, budgeting, tender submissions and research on suppliers or materials.
• May supervise and train junior administrative staff in office procedures, document management systems and current software used for project administration.
• May organize company meetings, safety training sessions and project conferences.
