Director of Operations
Functions & Responsibilities
- Answer and respond to employee and public phone calls and general email inquiries. Record messages for all departments and senior management.
- General administrative tasks as needed, such as ordering office supplies, taking minutes during CAC, and filing confidential documents.
- Maintaining discretion and confidentiality in all communications
- Preparation of letters, memos, reports, and presentations
- Streamlining flow of information amongst appropriate stakeholders
- Tracking expenses and organizing reimbursements for executive team
- Calendar management, including scheduling meetings with internal and external stakeholders, agenda preparation, and coordination of anticipated changes.
- Proactively arranging equipment, location, meals, etc. for meetings and events
- CB representative to be the Office building liaison for all building updates and inquiries.
- Maintaining accounting records, preparing cash deposits, and providing general accounting support as needed under the supervision of the Accounting Manager.
- Maintaining petty cash and organizing reimbursements for the executive director and other managers.
- Ad hoc duties as assigned to support functions of various departments.
Education & Experience:
- Post-secondary education in business or office administration, legal assistant or another relevant program
- 1-2 years related experience providing direct administrative support work.
Abilities
- Excellent oral and written communication skills.
- Must be detail oriented, organized, able to multitask, and keep thorough and accurate records.
- Excellent interpersonal skills, including the ability to create and maintain good working relationships.
- Intermediate computer skills. Proficiency in Microsoft Office (Outlook, Excel, Word), Google Suite and Adobe (PDF).
- Proven record of taking responsibility and using good judgment, including exercise of discretion and confidentiality.
- Adaptable and flexible with a demonstrated ability to take initiative.
- Self-starter with a positive attitude who is comfortable working independently and with a team.
Employment Information
Type: Permanent Full-time
Hours: 40 per week
Wage: $25.00 per hour
