The Jewish Community Centre of Greater Vancouver is a charity whose mission is to provide leadership in cultural, recreational, educational and social activities to the Jewish and general communities in the Oakridge area of Vancouver.  It sees 300,000 visits per year, and provides amenities and services including swimming, theatre, dance, seniors care, early childhood education, day care, fitness facilities, a café, art gallery, and multi-purpose rooms.

  • Position: Administrative Assistant
  • Work Hours: 40 hours per week
  • Wage: $24.62 per hour
  • Job Type: Permanent, Full-time
  • Start date: ASAP

Key duties and Responsibilities

  • Determine and establish office procedures and routines
  • Maintain personal files for all clients below the supervisor level
  • Helping produce internal company documents for admin, HR and IT processes, standards, and procedure
  • Answer telephone and electronic enquiries and relay telephone calls and messages
  • Set up and maintain manual and computerized information filing systems
  • Order office supplies and maintain inventory
  • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
  • Record and prepare minutes of meetings
  • Supervise and train office staff in procedures and in use of current software
  • Assemble data and prepare periodic reports and correspondence on a monthly basis
  • Cross train on booking system for Room Reservations
  • Manage mail chimp data base for membership
  • Assist with implementing and promoting member related programs such as member movie nights and annual member appreciation BBQ
  • Process payments for all new memberships and payments for facility rentals
  • Manage the communication letter process for all members joining and renewing
  • Manage payment application for all memberships – setting up monthly and annual repetitives
  • Assist Director with subsidy program which requires confidentiality
  • Assist Department Director with special projects and back up of department as needed

 

Requirements/Education and other requirements

  • Completion of secondary school is usually required
  • Completion of a one- or two-year college or other program for administrative assistants or secretaries or previous clerical experience is required.
  • Organized, self-disciplined, motivated and able to work independently
  • Interpersonal communication skills, communicate effectively both written and orally
  • A strong commitment to team culture, positive attitude
