Divine Xpressions Inc. is an established real estate investment and management company overseeing buildings in the GTA.
Divine Xpressions Inc. offers a full range of services to its building tenants from move-in/move-out assistance to regular maintenance and interior renovations. Divine Xpressions is looking to grow in the Greater Toronto Area.
We are currently looking for an Administrative Assistant to join our team based out of Oshawa Ontario. Our Administrative Assistants provide all the administrative tasks needed to support our management and staff members, and in the coordination with our various building tenants and partners.
This role involves a high level of administrative support, scheduling, coordinating, and multitasking, to support management and staff members, as well as tenants.
DUTIES & RESPONSIBILITIES
· Perform a variety of administrative duties in support of management;
· Schedule and coordinate move-ins/move-outs and regular maintenances;
· Set up and maintain manual and computerized information filing systems;
· Prepare, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related materials as required;
· Manage reports in a timely manner and input data into systems;
· Answer telephone and electronic enquiries and relay telephone calls and messages as required;
· Schedule and confirm appointments and meetings as required;
· Organize conferences and prepare meeting minutes;
· Document and log staff/safety meeting minutes;
· Arrange travel schedules and make reservations as needed;
· Open and distribute incoming regular and electronic mail and co-ordinate the flow of information internally and with other departments and organizations;
· Order office supplies and maintain inventory.
SKILLS & QUALIFICATIONS
The successful candidate will possess the following qualifications:
· Completion of a one- or two-year college or other program for administrative assistants or secretaries or at least 1 year of previous clerical experience is required.
· Ability to interact with people effectively and in a professional manner;
· Technical administrative experience is an asset;
· Ability to work independently and in a team environment;
· Must be proficient with computers, especially Microsoft Office Suite (required).
