Experience Required: 7 months to 1 year of experience
Job Duties:
- Administrative Oversight: Oversee and coordinate office administrative procedures, ensuring efficient operations and compliance with regulations.
- Procedure Implementation: Review, evaluate, and implement new office procedures to improve workflow and efficiency.
- Staff Management: Establish work priorities, delegate tasks to office support staff, and ensure deadlines are met and procedures are followed.
- Client Interaction: Handle administrative activities related to client intake, consultations, and follow-ups, ensuring excellent customer service.
- Record Management: Administer policies and procedures related to the release of records, ensuring compliance with privacy legislation.
- Office Services Coordination: Plan and coordinate office services such as accommodation, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance, and security.
- Financial Management: Conduct analyses and oversee administrative operations related to budgeting, contracting, and project planning and management.
- Budget Assistance: Assist in the preparation of the operating budget and maintain inventory and budgetary controls.
- Reporting: Assemble data and prepare periodic and special reports, manuals, and correspondence.
- Supervision: Supervise records management technicians and related staff, ensuring proper record-keeping and data management.
- Client Support: Provide support to clients by guiding them through the immigration process, answering their queries, and ensuring they have all necessary documentation.
- Compliance: Ensure all office activities comply with relevant immigration laws and regulations.
- Training: Train and mentor new office staff, ensuring they understand office procedures and compliance requirements.
- Technology Management: Oversee the maintenance and use of office technology and software, ensuring smooth operations and data security.
- Problem Solving: Address and resolve any administrative issues or conflicts that arise within the office.
