Description
We are looking for a responsible administrator to join our team. The succsessful candidate will be responsible to oversee the day-to-day operations, ensure high-quality service delivery, manage work orders and workflow to meet customer deadlines and maintain an organized and safe work environment. The ideal candidate should have a friendly and outgoing personality, an eye for detail, and the ability to work at fast-paced environment.
Responsiibilities:
- Clearly outline any additional repair requirements, costs, and timeframes to customers.
- Ensure repair orders are detailed and comprehensive for all involved parties.
- Process invoices, payments and maintain accurate financial records.
- Oversee parts procurement and inventory management to avoid shortages and maintain optimal stock levels.
- Perform detailed evaluations of damaged vehicles, documenting findings and recommending necessary repairs based on inspection results.
- Efficiently schedule repair projects to maximize shop productivity and meet established deadlines.
- Track repair progress and adjust workflows to promptly address any delays or issues.
- Conduct thorough inspections of repaired vehicles to confirm adherence to Capital’s quality benchmarks.
- Collaborate with technicians, repair planners, and customer service teams to promptly resolve any customer concerns related to quality.
- Collaborate with various departments to enhance operational efficiency and optimize resource utilization.
- Verify the accuracy and completeness of repair documentation and customer records.
- Deliver exceptional customer service by greeting clients, arranging appointments, answer inquiries, and providing clear repair details and expectations.
- Advise customers on vehicle maintenance and care in line with manufacturer recommendations.
Experience & Qualification:
- 1 to 2 years previous administrartive experience.
- General administrative knowledge.
- Strong organizing skills with the ability to prioritize tasks effectively.
- Good communication and understanding skills.
- Ability to work independently with minimal supervision.
- Attention to detail and accuracy in data entery and record-keeping.
- Strong book-keeping skill.
- Proficiency in operating comoputer including MS Word, MS Excel and Outlook.
