Administrative Assistant (Restaurant)

Description

Job Duties:

1. Compose, edit and prepare documents including letters, menus, memos, forms and other paperwork;
2. Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information
3. Manage reservations, meet with clients, private parties and walk-in guests to book catering service for party and other events;
4. Proactively assist in addressing customer service, delivery issues and ensure complete customer satisfaction;
5. Create and maintain catering, event and party files and maintain separate filing system for repeat customers and events;
6. Maintain an event calendar and coordinate with the cooks, servers and outside contractors to ensure that all preparations for the event are well arranged;
7. Conduct interviews and recruit employees;
8. Conduct new hire orientation programs, cross train in all areas of the restaurant and fill in when needed to ensure staff coverage and smooth operation;
9. Create and orderly filing system to maintain and organize files both electronically as well as physically;
10. Order and maintain supplies and ensure that the restaurant is well-stocked at all times;
11. Arrange for appliance repair and maintenance;
12. Obtain and update all WSIB clearances, pay premiums and maintain reports;
13. Enter weekly cash and credit card sales and meal counts
14. Process vendor invoices for payment,
15. Create, coordinate and maintain vendor supplier information, employee data base, financial and other information;
16. Perform monthly vendor statement reconciliation, prepare monthly financial information and submit to Accountants.

Job Requirements:

• Microsoft Office (including advanced proficiency in Excel)
• Strong communicator
• Liaising with third parties by phone, or email
• Efficient in coordinating various teams
• Exceptional problem-solving skills
• Experienced with implementing procedures
• Experienced with planning, and coordinating events
• Minimum 6 months restaurant experience is an asset
• Minimum college education of 1-2 years or other program for administrative assistants or secretaries or Minimum 1 year of previous clerical/administrative experience

Job Type: Full-time, permanent
Salary: $22 per hour
Hours per week: 40 hours per week
Benefits: 10 days’ vacation and paid time off
