Job Duties:

  1. Perform general administrative tasks including answering phones, managing correspondence, and maintaining filing systems.
  2. Prepare and edit memos, letters, reports, excel sheets and presentation slides.
  3. Handle sensitive information in a confidential manner and promptly report any issues or activities to the manager.
  4. Organize and maintain extensive files, data, records, invoices, receipts and documents.
  5. Assist with scheduling meetings, record meeting minutes, coordinating appointments, and managing calendars.
  6. Manage correspondence, the company calendar, and mail, ensuring all items are prioritized and addressed promptly.
  7. Maintain office supplies and equipment, including fobs, snacks, stationery and paper etc.
  8. Assist in arranging office events, coordinating travel plans, and managing the office budget.
  9. Review incoming inquiries from phone calls, mail and electronic channels and distribute them to the appropriate parties.
  10. Provide excellent customer service, greeting the clients and visitors at the office, addressing inquiries and directing them to the appropriate teams.

 

Qualifications:

  1. College-level diploma or above is required
  2. Proficiency in Microsoft Office (Word, Excel, Access, and Outlook)
  3. Minimum 1 year of administrative experience or acting in a similar role.
  4. Excellent time management skills and the ability to prioritize work.
  5. Proven experience in preparing and maintaining documentation, spreadsheets, and databases.
