Position Title: Administrative Assistant (NOC13110)

Term of Employment: full-time, 40 hours per week

Location of Work: Industrial 2 Rd, Invermere, BC V0A 1K5

Wage: $26.00 per Hour

Language Requirements: English

MAIN DUTIES:

  • Responsible for processing of various admin documents, system data inputting, maintenance of information and accessing various computer programs.
  • Respond to written and verbal communication, liaise internally and externally to share information, clarify details, and ensure follow up.
  • Managing schedules and appointments for automotive repairs, home, and commercial glass installation.
  • Compile and maintain files, data, records and documents.
  • Prepare, key in, edit and proofread correspondence and invoices.
  • Issuance of invoices and receipts through QuickBooks.
  • Calculation of estimates or quotations and sending to customers for approval through glass manager.
  • Taking payment for the services provided.
  • Working in a team environment with manager and installers and glaziers.
  • Answering customer inquiries on the phone and in person.
  • Contribute to company policies and procedures, as well as help maintaining operations.

 OTHER DUTIES:

  • Handle claims for Windshield Repair & Glass replacement in ICBC GWE.
  • Liaise with ICBC provincial glass operations.
  • Taking appropriate photos of vehicles to process claims & process through ICBC VDIA.
  • Ordering and liaising with suppliers, dealers, third party sublet of recalibrations.
  • Ensuring that correct parts are ordered.
  • Receiving of Orders from suppliers & reconciling items received with the items ordered.
  • May perform other duties reasonably assigned.

SKILLS & QUALIFICATIONS

  • Secondary School Diploma or above is required.
  • Minimum 7 months of administrative experiences or acting in a similar role.
  • Experience preparing invoices and receipts through QuickBooks.
  • Advanced proficiency with Microsoft Office Programs.
  • Ability to interact with people effectively and in a professional manner.
  • Ability to work independently and in a team environment.
  • Experiences and skills of customer services in working the glass repair store and Certification for the ICBC Glass Repair Program are as assets.
