Description
Oughtred Coffee & Tea Ltd. roasts and manufactures the highest quality coffee for our customers across Canada and the USA and act as wholesale suppliers of tea, syrups, milk alternatives and other allied products. Reporting to the CFO – the Administrative Assistant is responsible for managing all of the day-to-day office operations, supporting the CFO’s administrative activities, as well as providing outstanding customer service to our clients and suppliers and directing them to the corresponding area.

Key duties and Responsibilities
- Answer phones, reply emails and return Messages
- Customer Service (fielding calls, orders, requests and complaints from customers)
- General Administrative Maintenance (maintaining current information for customer profiles, standard order cards, contact info, etc.
- Enter customer orders, post invoices and credit memos
- Organise orders according to company’s standard procedures for deliveries and ship outs
- Email customers for order confirmation or changes if any.
- Grocery Invoicing (turning Thrifty Foods pre-write orders into invoices for delivery daily)
- Help monitor customer account balances are current prior to releasing orders, and maintain active communication between customers and our team to avoid delays in deliveries or ship outs.
- Review outstanding sales orders to ensure orders are not missed.
- Assist with walk- ins, such as prepare orders for pickups, post invoices and take payments
- Assist with processing the online shopify orders
- Assist fellow employees with requests for information and any general questions they may have in regards to the day to day operations.
- Contribute to company policies and procedures, as well as help maintaining operations.
- Help coverage other departments with administrative supports when required.
- Support CFO with administrative tasks associated with head office requirements
- Work with Customer Service team to provide customer information as requested
- To help streamline communication efforts with customers as needed
Requirements/Education and other requirements
- College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years or equivalent experience
- At least 1 year of experience in related position
- Valid driver’s license
- Up-to-date COVID vaccination
- Language: English mandatory
