Job Description:

Position: Administrative Assistant

Positions available: 1

Work Hours:  40 hours per week

Wage: $26.00/hour

Language of work: English

Employment Type: Full-time, Permanent

Start date: ASAP

Work Location: 6211 Neville Street, Burnaby, BC, V5J 2J7, Canada

Language of work: English

Job benefits: 14 days of Vacations per year

 

Key duties and responsibilities:

  • Acts as first point of contact for all clients. 
  • Monitors and responds to our general email mailbox.
  • Manage incoming and outgoing mail.
  • Answer telephone and relay telephone calls and messages.
  • Order office supplies and maintain inventory.
  • Set up and maintain manual and computerized information filing systems.
  • Types material from handwritten such as correspondence, reports and documents.
  • Receiving and logging all incoming payments.
  • Schedule and confirm employees’ appointments.
  • Keep up to date Employees files.
  • Create and analyze deployment for events.
  • Follow and establish office procedures.
  • Other administrative duties as needed.
  • May compile data, statistics and other information to support research activities.
  • Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, and reports.
  • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations

Requirements for the job:

  • Completion of secondary school.
  • 1 to 2 years of previous clerical work experience. 
  • Computer knowledge in Google Docs, MS Office, Word, Excel, Power Point and Windows, Quickbooks, Webforms, kvCORE, Touchbase, Paragon (Residential & Commercial), MacOS.
  • Ability to effectively partner and liaise with all levels of the business and develop and sustain cooperative working relationships with internal staff, and external contacts.
  • Able to adapt to different communication and working styles.
  • Must be proactive and work well in a collaborative environment, with the ability to take guidance but then move tasks forward independently.
  • Ability to communicate effectively, both oral and written, with people at all levels of seniority.
  • A strong work ethic, work under pressure and manage tight deadlines, ability to handle multiple demands, competing priorities and adapt to new idea and constant changes.
  • Be detail-oriented with a keen focus on producing accurate work.
